AI automation for gyms, studios and wellness centres in the Middle East: what to hand to an agent, what it costs, and the rules

A Gulf gym, studio or wellness centre should give an AI agent the messages that repeat every day. That means trial-class bookings, timetable and price questions, freezes, waitlists and a nudge to members who have quietly stopped coming. Anything clinical, such as physiotherapy or IV drips, stays with licensed people. This page covers what to automate, what WhatsApp messages cost in each GCC country, and the rules on health data and wellness advertising. The short answer

Automate the repeats, not the relationship. Prices, class times, ladies' hours, bookings, freezes and reminders all have written answers. A coach's judgement on injuries, goals and complaints stays with a person.

The trial class is the sale. An enquiry answered in seconds at 11pm, with a booked slot and directions, is where a membership is won or lost.

Retention is a silence problem. An agent connected to attendance data can notice the members who stop coming and start a conversation, but only with members who opted in.

Every reply now has a price. From 1 October 2026, Meta charges for service replies after 1,000 free per business number each month. To a UAE number that is USD 0.0157 a message, and a marketing message is USD 0.0576.

Wellness that touches medicine follows health rules. In Dubai, DHA's social media advertising standard names WhatsApp and bans claims such as "safest", "100%" and "immediate results".

Injury notes are health data. UAE, Saudi, Qatari and Bahraini law treat health data as sensitive. Oman's law requires a ministry permit to process it.

What a gym or studio inbox contains, and who should answer each message

Before choosing any software, sort the conversations. The table below is our working split for a gym, studio or boutique fitness brand. It is a judgement, not survey data, and every business will move a few rows.

The rule behind the split is simple. If a wrong answer could hurt a member's body, money or dignity, a person answers. Everything else is a fact the business can write down once, so an agent can repeat it at 2am exactly as written.

That last part matters more than the AI. An agent is only as accurate as the facts sheet behind it. If a gym's freeze rules, ladies' hours and holiday hours are not written in one place, writing them is the first week of the project.

The trial class: the first conversation decides the membership

A trial class is the point where an enquiry becomes a person in the building. The conversation before it has one job. It must get a named person into a specific class at a specific time, with directions and a note of what to bring.

It tends to go wrong in three ways. The reply comes the next morning. The answer is a link to a timetable instead of two times to choose from. Or the prospect asks about women-only sessions and receives a general price list.

A trial booking in seven steps

  1. Answer what was asked, firstIf they asked the price, give the price. Then ask one question back, not five.
  2. Ask about goals and experience, not health"Have you trained before?" is enough. If they mention an injury, note it for the coach and stop asking.
  3. Offer two real slots"Tuesday at 7pm or Thursday at 6:30pm?" turns a browse into a choice. A timetable link hands the work back to them.
  4. Confirm the session typeMixed, women-only, beginner or advanced. The wrong class on a first visit is worse than no class.
  5. Book it and send the detailsInto the calendar, then the location pin, parking or metro notes, and what to bring.

Paid ads change the cost of this whole sequence. Someone may message you from a Click-to-WhatsApp ad. If you reply within the customer service window, Meta opens a free entry point window. While it is open, Meta charges nothing for any message you send.

How long it stays open is unclear, because Meta's own pages disagree. Its pricing documentation says 72 hours, while other Meta pages say up to 7 days. Plan on the shorter figure. For studios that market on Instagram, the first message may be a DM or a comment under a reel. The same booking flow should run there, then move to WhatsApp once the person agrees. See Instagram DM automation in Dubai for how that handover works.

A trial enquiry at 10:40pm

Arrives: "How much is membership, and do you have women-only classes?" Written in Arabic, from a Click-to-WhatsApp ad.

Prospect: "A little, but not for two years."

Agent: offers the women-only beginners' class on Tuesday at 7pm or Thursday at 10am.

Booked: Thursday at 10am, with the location pin and "bring water and a towel".

Note to the coach: first class in two years, no injuries mentioned, prefers Arabic.

Meta fees: none, because every message falls inside the free entry point window.

Women-only classes and ladies' hours: details the agent must get exactly right

On WHO's 2022 estimates, women in every GCC country are less likely than men to meet the activity guideline. In the UAE, 73.6% of women were insufficiently active, against 63.1% of men. In Saudi Arabia the figures were 57.8% and 46.7%.

Saudi Arabia's own statistics point the same way. GASTAT figures reported in July 2022 found that 54.8% of men practised sport weekly, against 38.3% of women. Our reading is that women-only sessions are a real market, and that many people asking about them may be new to training. They deserve a precise answer, which comes down to six rules.

The Gulf fitness calendar: Ramadan, summer and the Dubai Fitness Challenge

A gym's busiest message weeks follow the calendar, and in the Gulf that calendar has its own shape. The agent needs each period's facts loaded before it starts, not the morning after.

Ramadan follows the Hijri calendar and begins on a confirmed moon sighting, so the exact date is not known weeks ahead. Do not let an agent switch timetables on a guessed date. Load the Ramadan timetable early and switch it when the start is announced. The same applies to Eid hours.

The Dubai Fitness Challenge is the Gulf's clearest fitness peak. Its 10th edition runs from 31 October to 29 November 2026, as Dubai Media Office announced on 13 August 2026. The challenge asks people to do 30 minutes of activity every day for 30 days.

The flagship events are fixed. Dubai Ride is on 1 November, Dubai Stand Up Paddle on 7 and 8 November, Dubai Run on 22 November and Dubai Yoga on 29 November. Last year's Dubai Run drew a record 307,000 runners. Dubai Ride drew 40,327 cyclists, up from 37,130 in 2024.

For a gym, that is a month when people who rarely exercise go looking for somewhere to do it. Our reading: the agent should be ready with a short-term offer, the classes with space, and a way to book in one conversation. Any broadcast about the offer is marketing, so it goes only to people who opted in. We cover that in WhatsApp marketing consent in the UAE.

Freezes, cancellations and the members who quietly stop coming

In our view, retention is mostly a silence problem. A member comes less often, then stops, then cancels at renewal. By the time a cancellation message arrives, the decision was usually made weeks earlier.

An agent cannot fix that on its own. It can notice the silence, if it is connected to attendance data, and start a human conversation at the right moment.

Freezes and cancellations

Here the agent's job is clarity, not persuasion. It quotes the freeze rules exactly as written, collects the dates and the reason, and confirms in writing. Exceptions, refunds and disputes go to a person, with the whole conversation attached.

Never make cancelling harder than joining. WhatsApp's Business Messaging Policy requires a business to respect every request to block, discontinue or opt out of its messages, "either on or off WhatsApp". A member who writes "stop" is opted out of your messages, whatever the contract says about the membership.

A cancellation is not a sales lead.

An agent that answers "I want to cancel" with three offers in a row teaches members that the business does not listen. Offer a freeze once, if the policy allows one, then process the request or hand it to a person.

Membership contracts and consumer rules differ by country and sometimes by emirate. We could not verify them for all six markets, so check locally before the agent quotes any notice period.

Spotting the quiet ones

  1. Connect attendanceThe agent can only notice what the booking or door system records. No data means no signal.
  2. Set a simple thresholdFor example, a member who trained weekly and has not visited for 14 days. Start with one rule and adjust it.
  3. Check consent firstA "we miss you" message promotes your service. Send it only to members who agreed to hear from you, as a marketing template.
  4. Send one personal messageOne question, easy to answer: "Everything all right? Shall I book you back into Thursday's class?"
  5. Let the reply open the conversationIf they answer, the 24-hour window opens and the agent can talk freely, at service-message rates.
  6. Stop after one tryNo reply means no second, third and fourth nudge. Silence is an answer.
  7. Log the reasonInjury, travel, cost, timetable or a bad experience. A manager reads the reasons every month.

What one win-back round costs in Meta fees

Members flagged: 150 in a month, all opted in, all on UAE numbers.

Marketing templates: 150 x USD 0.0576 = USD 8.64, or 150 x AED 0.2115 = AED 31.73 on an AED-billed account.

Replies: say 30 members answer. The conversations that follow are service messages, which count towards the 1,000 free each month.

The comparison: one member who stays on an AED 450 monthly plan covers the round about 14 times over.

Personal training packages, sessions left and waitlists

Personal training is high-touch, and the admin around it is fiddly. There are packages, sessions left, each trainer's diary and late changes from both sides.

An agent connected to each trainer's calendar can sell and book the consultation. It can answer "how many sessions do I have left?" and move a session when a client asks. The training itself, and any question about pain or injury, stays with the trainer.

Voice notes help here too. A member who sends a voice note at 6am asking to move a session can get a spoken reply in seconds. Use the agent's own voice, not a real trainer's, unless that trainer has agreed. Session reminders have their own rules, covered in AI voice note appointment reminders.

Waitlists are the clearest win for automation. When a place frees up, the agent offers it to the next person, holds it for a set time, then moves down the list. Nobody at the front desk has to work through names an hour before class.

Set the hold time to suit the class. Thirty minutes may be fair the evening before. Ten minutes may be all there is on the day.

What each gym message costs on WhatsApp in the UAE from 1 October 2026

Meta charges per delivered message, by category and by the country code of the recipient's number. Messages that members send to you are free. The table uses Meta's UAE rates. The next section has the other five GCC countries.

Two details catch people out. Utility templates sent inside an open window became chargeable again on 1 October 2026, and the 1,000 free messages cover service messages only, not utility templates.

A month of Meta fees for one Dubai studio

Service replies: 2,600 sent; the first 1,000 are free; 1,600 x USD 0.0157 = USD 25.12.

Reminders and waitlist offers: 1,000 utility templates x USD 0.0157 = USD 15.70.

Offers and win-backs: 300 marketing templates x USD 0.0576 = USD 17.28.

Total: USD 58.10 a month. On an AED-billed account it is AED 92.16 + AED 57.60 + AED 63.45 = AED 213.21.

Five WhatsApp terms worth knowing

Customer service window
The 24 hours after a member messages you. It resets with each new message. Free-form replies, including voice notes, can only be sent while it is open.
Template message
A pre-approved message format a business can send at any time. Meta sorts templates into marketing, utility and authentication.
Service message
Any free-form reply inside the window, whether a person or a third-party AI agent writes it. The first 1,000 a month per number are free.
Free entry point window
Opens when you reply to someone who messaged from a Click-to-WhatsApp ad. Meta charges nothing while it is open. Meta's pages disagree on how long that is: 72 hours or up to 7 days.
Opt-in
A person's permission to receive your messages. WhatsApp requires it before you contact anyone.

Wellness centres: massage, physiotherapy and IV drips need different rules

Wellness covers everything from a sports massage to a vitamin drip. For an AI agent, the line that matters is whether a service is healthcare. Booking a massage is a scheduling job. Booking an IV drip or a physiotherapy assessment puts the agent inside health regulation.

In Dubai, the Dubai Health Authority licenses health facilities and healthcare professionals, a role set by DHA Law No. 6 of 2018. DHA's standards define a health facility to include any place that treats patients or does anything related to rehabilitation after treatment.

Elsewhere in the UAE the regulator depends on location. It may be the Ministry of Health and Prevention, Abu Dhabi's Department of Health or Dubai Healthcare City's regulator. A centre should confirm which licence covers each service before an agent books it.

What DHA's social media standard means for a WhatsApp agent

DHA's Standards for Medical Advertisement Content on Social Media apply to all DHA-licensed health facilities and professionals. Version 1.1 took effect on 3 October 2022, and its definition of social media names WhatsApp. Six of its clauses matter directly for an agent that talks to prospects.

Read together, these turn into agent rules. The agent books consultations, quotes approved prices and explains logistics. It never recommends a drip, never promises an outcome and never asks about symptoms. When someone starts describing a condition, it moves the conversation to licensed staff.

WhatsApp's own rules on health

WhatsApp's Business Messaging Policy, last updated on 23 September 2026, adds its own limits. Section 3 tells businesses not to use WhatsApp for telemedicine. It also bars sending or requesting health information where regulations forbid passing it to systems without heightened safeguards.

Section 4 bars using WhatsApp to buy, sell or promote certain restricted goods and services. Medical and healthcare products are on that list, which matters for any centre that sells products alongside treatments.

Licensed health facilities in the UAE face one more constraint. Article 13 of Federal Law No. 2 of 2019, on ICT in health fields, restricts where health information can go. Health information about services provided in the UAE may not be stored, processed or transferred abroad, except in cases set by decision.

Do not let an agent "recommend" an IV drip.

A person who asks "which drip is best for a hangover?" is asking for clinical advice. The agent's answer is a consultation slot with licensed staff, never a product. Under DHA's standard, even "the best" is off limits.

Country by country: activity levels and WhatsApp prices across the GCC

The six GCC markets differ in how active people are and in what each WhatsApp message costs. Meta prices by the recipient's country code, so a Dubai gym messaging a member's Kuwaiti number pays Kuwait's rate.

WHO's guideline is at least 150 minutes of moderate-intensity activity a week. The figures are WHO's age-standardised estimates of adults aged 18 and over who fall short of it. The uncertainty is wide: Bahrain's 38.6% sits in a range of 19.4% to 60.7%. For comparison, WHO puts the UK at 19.0% and the world at 31%. Rates are from Meta's USD rate card effective 1 October 2026.

Two things stand out for a gym owner. Kuwait now costs the most per message in the GCC, for both marketing and service. And the UAE pairs the highest inactivity estimate with the joint second-highest marketing rate, level with Saudi Arabia.

Kuwait and Oman were moved out of Meta's "Rest of Middle East" region on 1 October 2026. Bahrain stays in it. A gym with members across the Gulf should budget by the country codes of members' numbers, not by where the gym is.

Saudi Arabia: a national target already passed

Saudi Arabia's Quality of Life Program, launched in 2018 under Vision 2030, set a target of 40% of people doing sport or physical activity weekly. GASTAT figures reported in July 2022 put the share at 48.2%, for at least 30 minutes a week. The Eastern Region, Riyadh and Asir were the most active.

That looks like a contradiction with WHO's 51.5% inactivity estimate. It is not. The two measure different bars: 30 minutes a week against WHO's 150. Our reading is that many people do something every week without meeting the guideline, and that group is a Saudi gym's natural audience.

What we could not put in the table

Licensing for gyms, trainers and wellness centres is set nationally, and sometimes by emirate or city. We could not verify each country's current rules, so we have left them out. Check locally before an agent describes any service as licensed, certified or approved.

Member data, consent and marketing law in each GCC country

A gym holds more sensitive data than it tends to think. Injuries, pregnancy and medical conditions count as health data in most GCC laws. An agent that asks about them, or reads a photo of a doctor's note, is processing that data.

WhatsApp's own rules sit on top of all six. You may only contact people who gave you their number and opted in to hear from you. You must also respect every request to stop, "either on or off WhatsApp". We explain the UAE side in WhatsApp and UAE data protection.

For a gym or studio, the law turns into four habits.

A rollout plan for a gym or studio, in seven steps

The order of the rollout matters as much as the agent. This is the sequence we would use.

  1. Write the facts sheetPrices, packages, freeze and cancellation rules, ladies' hours, holiday hours, parking and what to bring. If it is not written, the agent cannot say it.
  2. Write the handover rulesWhich topics always go to a person: injuries, refunds, complaints, anything medical. Name who receives each one.
  3. Start with new enquiriesTrial classes and price questions first. They are high in volume and low in risk.
  4. Read every conversation for two weeksA manager reads the transcripts daily and fixes the facts sheet, not the agent's wording.
