We are an AI automation agency that designs and operates intelligent systems to help businesses communicate with their customers, manage leads, and build lasting relationships at scale. Your privacy matters to us. This Privacy Policy explains how we collect, use, store, share, transfer, and delete the personal information of our clients, their customers, and visitors to our website and applications. By engaging Learnmind.ai's services, using any application we operate, or visiting our website (referred to in this policy as "Learnmind.ai", "we", "us", or "our"), you agree to the practices described below.

Who This Policy Applies To

This policy covers three categories of individuals:

  • Our Clients: Business owners and operators who engage Learnmind.ai to build and manage AI-powered communication and lead management systems on their behalf.
  • End Users: The customers, leads, and contacts of our clients who interact with AI systems built and maintained by Learnmind.ai (for example, receiving an automated message, engaging with a comment reply, or interacting with a chatbot powered by our technology).
  • Website Visitors and Application Users: Anyone who visits www.learnmind.ai, uses an application we operate, reads our content, or engages with us through social media or other online channels.

Our clients are the data controllers for any end-user data processed through the systems we build. Learnmind.ai acts as a data processor on behalf of our clients. Where we collect data directly (such as from website visitors, application users, or prospective clients), we act as the data controller.

Data We Collect

We collect personal data to deliver our services and improve our operations. The types of information we handle include:

  • Client Information: When you engage us as a client, we collect business and contact details such as your name, email address, phone number, business name, and billing information.
  • End-User Data (Processed on Behalf of Clients): In the course of operating AI-powered systems for our clients, we may process data belonging to their customers. This can include names, phone numbers, email addresses, social media handles, message content, inquiry details, and engagement history.
  • Third-Party Platform Data: We use third-party platform APIs (such as LinkedIn) to manage our own company presence, publish content, and analyse performance. We may also access platform data on behalf of authorised account holders. Details are described in the "Third-Party Platform Data" section below.
  • Website and Marketing Data: When you visit our website, we collect standard usage data such as your IP address, browser type, device information, pages viewed, and referral source.
  • Communication Data: If you contact us via email, social media, messaging apps, or any other channel, we retain the content of those communications.
  • Payment Information: Payment details are handled securely by third-party payment processors. Learnmind.ai does not store full payment card details on our servers.

We do not collect sensitive personal data such as government-issued identification numbers, health records, or biometric data, unless explicitly required by a client engagement and agreed upon in writing.

How We Use Your Data

  • Service Delivery: Building, operating, and maintaining AI-powered automation systems including automated communications, lead qualification, content management, analytics reporting, and performance optimisation.
  • System Improvement: Analysing aggregated, anonymised performance data to refine AI models and improve response accuracy.
  • Client Communication: Providing project updates, performance reports, and handling billing matters.
  • Marketing and Outreach: Sending relevant updates about our services to those who have opted in. You can opt out at any time.
  • Legal and Compliance: Complying with applicable laws and enforcing our service agreements.

No Selling of Personal Data: We do not sell, rent, lease, or trade personal information to third parties. We do not use personal data obtained from third-party platform APIs for advertising, ad targeting, or to generate mass messages or promotions.

AI Systems and Automated Processing

  • Automated Communication: Our systems use AI to read, classify, and respond to messages in real time across messaging platforms, social media, email, and web-based interfaces.
  • Lead Qualification: AI models assess incoming inquiries to determine intent, urgency, and fit.
  • Knowledge Bases: Systems reference structured knowledge bases containing client business information to generate accurate responses.
  • Human Oversight: Clients retain the ability to intervene, review conversations, and override automated responses at any time.
  • No Automated Decision-Making with Legal Effect: Our AI systems do not make decisions that produce legal effects or similarly significant consequences for end users.

Third-Party Platform Data (Including LinkedIn)

Learnmind.ai uses third-party platform APIs, including LinkedIn's Community Management API, to manage our own company LinkedIn page and associated profiles. We use these integrations for internal purposes: publishing content, monitoring post performance, analysing audience engagement, and optimising our content strategy.

We do not access, collect, or store LinkedIn data belonging to our clients or their customers. Our LinkedIn API integration is used solely to manage Learnmind.ai's own LinkedIn presence. We do not offer a product or feature that requires our clients to connect their LinkedIn accounts to our systems.

The account holder who authenticates our application with LinkedIn (currently Learnmind.ai's own authorised personnel) is informed of and consents to the following before any data is accessed: the specific types of data we will access, how that data will be used and disclosed, whether data will be collected once or on a recurring basis, how consent can be withdrawn, and how data deletion can be requested.

  • Data We Access from LinkedIn: Through our authenticated connection to Learnmind.ai's own LinkedIn account(s), we may access data made available through LinkedIn's APIs, including but not limited to: profile data (such as name, headline, and profile picture), company page information, post content and engagement data, post and page analytics (such as impressions, reactions, comments, and shares), follower statistics, and other data categories supported by the LinkedIn API products we have been granted access to. We access only the minimum data required for our content management and analytics purposes.
  • Purpose of Use: LinkedIn data is used solely for managing and improving Learnmind.ai's own content strategy, including publishing posts, tracking performance, analysing audience engagement, and informing future content decisions. We do not use LinkedIn data for advertising, ad targeting, or to generate mass messages, promotions, or unsolicited offers directed at LinkedIn members. We do not use LinkedIn data to make decisions regarding credit, insurance, employment, housing, or any similarly consequential purpose.
  • No Sale or Redistribution: We do not sell, rent, lease, or otherwise distribute LinkedIn data to any third party. LinkedIn data is never combined or aggregated with data from other sources in a way that obscures its attribution to LinkedIn.
  • Disclosure of LinkedIn Data: LinkedIn data is accessible only to authorised Learnmind.ai personnel who require access to manage our content and analytics. We may process LinkedIn data using trusted infrastructure sub-processors (such as cloud hosting providers) that are bound by written agreements at least as protective as this policy. We do not disclose LinkedIn data to any other third party unless required by law. A current list of sub-processors is available upon request.
  • Storage and Retention: We store LinkedIn data securely using encryption in transit and at rest, strict access controls, and industry-standard security measures. Data is stored in a manner that allows us to identify, segregate, and selectively delete specific records. We retain LinkedIn data only for the duration necessary for our content management and analytics purposes and delete it when it is no longer needed.
  • Collection Frequency: LinkedIn data is collected on a recurring basis to support ongoing content management and analytics reporting. The authenticated account holder is informed of this recurring access at the time of authorisation.
  • Withdrawal of Consent and Disconnection: The authenticated account holder may revoke our application's access at any time by disconnecting it from LinkedIn account settings at linkedin.com/psettings/permitted-services, or by contacting us at [email protected]. Upon revocation, we will stop collecting new data from the account.
  • Deletion: The authenticated account holder may request deletion of all LinkedIn data we hold at any time by contacting us at [email protected]. We will delete all LinkedIn data, including any associated access tokens and member tokens, promptly upon receiving the request. We will also delete all LinkedIn data if the authenticated account holder revokes access or if we cease using the LinkedIn APIs, unless retention is required by law or regulatory obligation.
  • Re-authorisation: If access tokens expire, we will obtain fresh consent from the account holder before resuming data collection. We will not access LinkedIn data using expired or refreshed tokens without renewed authorisation.
  • Compliance: Our use of LinkedIn data complies with the LinkedIn API Terms of Use and LinkedIn's Developer Documentation. LinkedIn does not sponsor, endorse, or verify our application or services. We do not state or imply otherwise.

If we expand our services in the future to include LinkedIn integrations on behalf of clients or third parties, this policy will be updated accordingly before any such access is initiated, and affected individuals will be notified. Similar data protection principles apply to any other third-party platform APIs we integrate with.

Data Sharing and Disclosure

We do not sell, rent, or trade personal data with unrelated third parties. We share data only in the following circumstances:

  • With Our Clients: For end-user data processed on their behalf, in accordance with our service agreement.
  • With Trusted Service Providers: We work with a limited number of sub-processors (such as cloud hosting, analytics, and payment providers) that are bound by written agreements requiring them to protect data at least as rigorously as this policy.
  • When Required by Law: We may disclose data in response to valid legal process, court orders, or government requests.
  • In Connection with a Business Transfer: If Learnmind.ai is acquired, merged, or sells substantially all of its assets, personal data may be transferred as part of that transaction. We will notify affected users before their data becomes subject to a different privacy policy.

Data Security

We implement industry-standard security measures including HTTPS/TLS encryption for data in transit, encryption at rest for stored data, strict role-based access controls, secure cloud infrastructure, API security best practices, monitoring and logging of access to sensitive data, and thorough vendor diligence for all sub-processors. No system is completely immune to risk, but we employ commercially reasonable measures to protect data. We maintain a written vulnerability response process and will report any security incidents that may affect your data within 24 hours of discovery.

Data Retention

We retain personal data only as long as necessary for the purposes described in this policy. Client data is kept for the duration of our business relationship. End-user data follows each client's service agreement. Third-party platform data is retained only for the duration necessary to deliver the services you have engaged and is deleted when no longer needed or upon your request. Transaction records are kept as required by tax and accounting regulations. After retention periods expire, data is securely deleted or anonymised.

Children's Privacy

Our services are designed for businesses and their adult customers. We do not knowingly collect personal information from anyone under 13. Contact us at [email protected] if you believe a child's data has been collected.

International Users and Data Transfers

Learnmind.ai LLC is registered in New Mexico, United States, and operates from Dubai, United Arab Emirates. Data may be processed and stored in the United States, the United Arab Emirates, or other jurisdictions where our infrastructure sub-processors operate. We comply with GDPR (as data processor and controller where applicable), CCPA, and the UAE's Federal Decree-Law No. 45 of 2021 on Personal Data Protection. Where data is transferred across borders, we ensure appropriate safeguards are in place in accordance with applicable law. We do not sell personal data.

User Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate personal data
  • Request deletion of your personal data
  • Restrict or object to the processing of your data
  • Request portability of your data in a structured, machine-readable format
  • Withdraw your consent at any time, where processing is based on consent
  • Lodge a complaint with a relevant data protection authority

End users whose data is processed by our systems on behalf of a client should contact that client directly to exercise their rights. Clients, application users, and website visitors can exercise their rights by contacting us at [email protected]. We will respond to valid requests within 30 days.
