Property enquiries arrive on WhatsApp and they arrive all at once. A portal listing generates a burst, every enquirer expects an answer within minutes, and whatever your assistant says about a unit is a statement your brokerage made. This page covers what automates cleanly, what must not, and the record-keeping that protects you.

The short answer
Speed decides who gets the viewing. Portal enquirers message several agencies at once and book with whoever answers first.
Qualification automates well. Budget, timeline, purpose, financing status and whether they are already working with an agent.
Claims about a unit are the brokerage's claims. Price, size, service charge, availability, permit. Serve them from a maintained source, never a guess.
The record matters. Keep the thread. It is the evidence of what was said.
Do not market to an enquiry list without separate, recorded permission.

Consumer Protection. Obligations sit with the supplier, and suppliers are prohibited from using consumer data for marketing purposes.
For a brokerage: what your channel tells a buyer is what your brokerage told them, and an enquiry about one unit is not consent to be marketed every new launch.

Personal Data Protection Law. Enquirers give you a name, a number, a budget and often their visa or financing position. All of it is personal data, with rights to correction and to stop processing attached.

Never let an assistant improvise a number. Price, size, service charge, rent and availability must come from a source someone maintains. A model filling a gap will produce a confident, specific, wrong figure, and a buyer who acted on it has been misled by your brokerage.
State the date on anything that moves. "Service charge as at 16 September 2026" is a defensible answer. A bare number is not.
Listing permit details belong in the listing. If your regulator requires permit information to be shown, that requirement does not disappear because the conversation moved to chat.

Handling the agent-attribution problem
Brokerages lose more to internal confusion than to slow replies. Two agents chasing the same buyer is worse than nobody chasing them.
- One number, routed, beats many personal numbers. Personal numbers leave with the agent.
- Attribute on first contact and record it. The thread is the evidence.
- Ask whether they are already with an agent in qualification. It prevents an awkward conversation later.
- Escalate duplicates to a human rather than letting the assistant arbitrate.
The portal burst, and what it does to a small team
A refreshed listing does not produce a steady trickle. It produces twenty enquiries in an hour, most of them in the evening, most of them also sent to three other agencies.

The value is not that the assistant is better than your agent. It is that twenty simultaneous conversations is not a thing a person can do, and the enquiry that waits until morning is usually already spent.
Off-plan versus secondary, which change the script
- Off-plan enquiries ask about handover dates, payment plans and developer reputation. Payment plan details must come from maintained data, never a model's recollection.
- Secondary enquiries ask about availability, chain, service charge and whether the price is negotiable. The last of those is a human conversation.
- Rentals ask about cheques, availability date and what is included. High volume, highly automatable, and the least well served today.
- Commercial enquiries are fewer, larger and almost always want a person quickly.
Terms worth being precise about

- Establishing budget, timeline, purpose and financing before spending agent time.
- Attribution
- Which agent owns the relationship with an enquirer, recorded at first contact.
- Maintained source
- A list someone updates on a schedule, with a date against each row. What every number must come from.
- Service charge
- An annual per-square-foot charge that changes. Always answer with the date it was checked.
- Customer service window
- 24 hours from the enquirer's message, during which replies need no template.
The grey zone
Safe and effective
- Instant acknowledgement and qualification of a portal enquiry.
- Availability answered from the live list.
- Viewing booked against a real diary.
- Follow-up after a viewing, where the viewing created the expectation.
Moves with a consequence
- Quoting a service charge or a rent the system was not given.
- Any statement about yield, appreciation or investment merit.
- Broadcasting new launches to everyone who ever enquired.
Borderline, and brokerages do it anyway
- Sending similar units when the enquired one is gone. Genuinely helpful, and it is a marketing message the moment it becomes a list.
- Holding enquirer data indefinitely because the market cycles. Decide a retention period and apply it.
Frequently asked questions
Can a Dubai brokerage automate WhatsApp enquiries?
Yes, on a verified business number. Qualification, availability and viewing bookings automate well.
