Sales enquiries are won on response time. A buyer messaging about a listed car is messaging several dealers.
"Is my car ready" is the highest-volume, lowest-value call a workshop takes, and the easiest thing to remove entirely.
Specification claims are your claims. Mileage, service history, accident history, warranty. Serve from a maintained record or do not serve them.
Never authorise extra work automatically. Present, capture, timestamp, escalate.

Consumer Protection. Obligations sit with the supplier. A specification, a price or a commitment given to a consumer through your channel was given by your business.
The same law prohibits suppliers from using consumer data for marketing purposes, so a service booking is not permission to send new-model offers.

A wrong specification is a consumer protection problem, not a typo. Mileage, accident history and warranty status are the claims buyers rely on. Every one must come from a maintained record, and the assistant must decline rather than estimate.
Do not let it describe a trim from general knowledge. Models vary by market, and the GCC specification frequently differs from the one a model learned about.
State the date on anything that moves. Availability and price both do.
Service: the status call is the whole opportunity
- Count status messages for one week"Is it ready", "what is the delay", "how much so far". Multiply by the interruption cost to a technician.
- Answer them from job statusRead-only integration. No judgement, no risk, immediate saving.
- Better: stop the question being askedPush an update when status changes. The best version of answering is not needing to.
- Book services against the real diaryWith correct job lengths per service type, or you will double-book the ramp.

Authorising extra work, carefully
A job opens up, the bill grows, and you need a clear record that the customer agreed. An assistant does the mechanical parts of this well and should do nothing else.
- Present what a human specified. Itemised work, itemised cost, in the customer's language.
- Capture a clean yes or no, timestamped, attached to the job.
- Escalate anything that is not a clean yes. Questions, part-approvals and haggling are human work.
- Never justify the work. Explaining why a repair is necessary is a conversation with a person who inspected the car.
The luxury and performance segment
- Response expectations are higher, not lower. A buyer at this level will not chase you twice.
- Discretion matters. Decide who can read threads, and whether vehicle and owner details sit in a system your whole team can search.
- Concierge patterns work, such as collection and delivery arrangements handled in chat, provided the diary is real.
- Do not automate the relationship. Automate the logistics around it so your people have time for the relationship.
Sales and service need different numbers, or at least different routing
A buyer enquiring about a car and an owner chasing a service are in different conversations with different urgency and different people. Mixing them into one undifferentiated inbox is the most common failure in this sector.

- Stock and job data someone updates on a schedule. The only acceptable source for any claim.
- Job status
- Where a vehicle is in the workshop process. Read-only access to it removes most inbound.
- Authorisation
- A timestamped customer yes to itemised extra work, attached to the job.
- GCC specification
- The regional trim, which frequently differs from other markets. A reason never to describe a car from general knowledge.
- Customer service window
- 24 hours from the customer's message, during which replies need no template.
The grey zone
Safe and effective
- Availability, specification and history answered from maintained records.
- Test drives and services booked against real diaries.
- Status updates pushed automatically.
- Collecting part-exchange details for a human to value.
Moves with a consequence
- Any specification or history claim not held in a record.
- Authorising extra work without a captured, timestamped yes.
- Telling a customer a vehicle is safe to drive.
- Marketing to a service list without separate consent.
Borderline, and dealers do it anyway
- Quoting a price band for common repairs. Defensible as a band with an inspection caveat, and customers remember the bottom of the band.
- Automated service-due reminders. Useful, expected, and closer to marketing than most dealers assume once an offer is attached.
